CitationHR Software Release 2026.10.09

foundU - CitationHR integration

We have updated sync logic between the two systems and below are the changes:

  • Name and date-of-birth matching now compares first name, surname and date of birth.

  • Capitalisation and extra spaces are ignored, and multi-word first names are compared in full.

  • If a foundU employee doesn’t match an existing CitationHR employee, the sync creates a new CitationHR employee record instead of linking to the wrong person.

  • If the matching CitationHR employee is already linked to a different foundU employee, the sync no longer stops with an error. It creates a new CitationHR record and flags the case for review.

  • Employees already linked between foundU and CitationHR are not affected and continue to sync as before.

Bank Account Name and Statement text length increase (NZ)

NZ customers can now enter bank account names of up to 50 characters and statement text of up to 32 characters in CitationHR and eSS, so joint and long account names can be approved without errors.

eSS Self-service messaging

The Edit Self Service Message screen now warns administrators that recipients they remove will no longer appear in Self Service Message reports.

New permission added to make My Details section in eSS read only

  • New permission RestricteSSMyDetails is now available in CitationHR.

  • This permission makes My Details read-only for eSS users. It can be added to any self-service role.

  • For employees with this permission, all of My Details stays visible, but they can’t add or update anything on the About Me and Emergency Contact cards. This includes any custom fields shown on those cards.

  • Employees can still update their profile photo, because photos aren’t part of the foundU sync.

  • The rest of eSS works as usual, including inbox tasks, documents and signing, training and qualifications, e-learning and performance reviews.

  • If a user has more than one role and any of them includes this permission, My Details is read-only for that user, even if another role allows editing.

  • Nothing changes for existing customers until a role with this permission is assigned. Removing the permission gives users edit access again straight away.
